1. Controller
International Martial Art Games Committee Germany e.V. (operating as “OITF Germany”), Timm-Kröger-Straße 57, 25746 Heide, Germany, e-mail: info@oitf-germany.de. The association is represented by its board (names: see legal notice).
2. Visiting this website
When you open this site, the server of our hosting provider processes your IP address and your browser’s request so that the page can be delivered to your device. We have switched off server access logs for this site. To protect against attacks, the hosting provider may automatically check accesses for anomalies and briefly process your IP address for that purpose. The data is stored only as long as needed to deliver the site and to defend against attacks. The legal basis is Art. 6(1)(f) GDPR (secure and stable operation of the site). The site is transmitted encrypted (https). The hosting provider is ALL-INKL.COM – Neue Medien Münnich, Hauptstraße 68, 02742 Friedersdorf, Germany. We have a data processing agreement with the provider (Art. 28 GDPR).
3. No cookies, no external services
This site sets no cookies. It does not load fonts, maps, videos, analytics or social-media services from third-party servers. We do not measure reach.
4. Calendar
The events calendar of this site is a plain file on our server. If you subscribe to it in your calendar app, your app fetches the file regularly; section 2 applies to that. We do not learn who has subscribed to the calendar.
5. Contact by e-mail
If you e-mail us, we process your details to answer your enquiry (Art. 6(1)(b) or (f) GDPR). We delete the data once the enquiry is dealt with and no retention duties apply.
6. Registration for events
Registrations for events are taken by the contact persons named on the events page, by e-mail or WhatsApp. We process the details to organise the event (Art. 6(1)(b) or (f) GDPR) and delete them when they are no longer needed for that. If you write to us via WhatsApp, the provider of that service also processes your data under its own privacy policy; using it is your choice, you can register by e-mail instead.
7. Photos
We publish the photos of the people on the “About us” and “Training” pages with their consent (Art. 6(1)(a) GDPR). Consent can be withdrawn at any time with effect for the future; we then remove the photo without delay. Pictures of public competitions and events that show the event and do not focus on individuals are published on the basis of our legitimate interest in reporting on club life (Art. 6(1)(f) GDPR); you can object at any time. Individual and portrait pictures, and pictures that focus on minors, are published only with consent (for minors, of the legal guardians). After a withdrawal or objection we remove the picture from this site without delay or make it unrecognisable. We cannot retrieve pictures that third parties have already copied or printed.
8. Links to other sites
Links to websites and social-media pages of our clubs are plain links. You only leave this site after a click; the privacy notices of the respective operator apply there.
9. Further information
Recipients of your data are our hosting provider as processor and Microsoft: the association’s mailboxes are read with the e-mail program “Outlook”, which synchronises e-mail accounts through Microsoft servers. Your e-mails, including sender details and content, are processed by Microsoft in the process. For users in the European Economic Area the provider is Microsoft Ireland Operations Limited, One Microsoft Place, South County Business Park, Leopardstown, Dublin 18, Ireland; Microsoft processes the data under its own privacy terms (privacy.microsoft.com). Processing by Microsoft Corporation in the USA is possible; Microsoft participates in the EU-US Data Privacy Framework, for which an adequacy decision of the European Commission of 10 July 2023 exists (Art. 45 GDPR). The legal basis is our legitimate interest in handling enquiries in a practical way (Art. 6(1)(f) GDPR); you can object under the right to object below. In addition, members of the leadership read the mailboxes with the e-mail apps of their mobile phones (Samsung Mail on Samsung devices, Mail on Apple’s iPhone). These apps fetch the e-mails from the mail server and store them on the respective device. If a person has activated a backup or synchronisation of their device in the manufacturer’s cloud service (Samsung, Apple), e-mails may be processed there under the manufacturer’s privacy terms. Within the association, only the people who handle enquiries for the association have access. We do not transfer personal data to countries outside the EU and the EEA. There is no automated decision-making and no profiling. Processing your IP address is technically necessary to open the site; apart from that, providing data is voluntary, but without it we cannot answer an enquiry.
10. Your rights
You have the right of access, rectification, erasure, restriction of processing and data portability (Art. 15 to 20 GDPR). You can withdraw any consent at any time with effect for the future (Art. 7(3) GDPR). Please contact us at the address above. You can also lodge a complaint with a supervisory authority, in Schleswig-Holstein with the Unabhängiges Landeszentrum für Datenschutz Schleswig-Holstein, Holstenstraße 98, 24103 Kiel, Germany, or with any other supervisory authority.
Right to object. Where we process data on the basis of legitimate interests (Art. 6(1)(f) GDPR), you may object at any time on grounds relating to your particular situation (Art. 21 GDPR). We will then no longer process the data unless we can show compelling legitimate grounds that override your interests, rights and freedoms, or the processing serves the establishment, exercise or defence of legal claims. You can send the objection informally to info@oitf-germany.de.
